Festival

Theater Operations Manager

Overview

The Theater Operations Manager is responsible for all front of house needs for one outdoor exhibition venue. The Theater Operations Manager hires, trains, and manages a team of Venue Managers, serving as the Lead Venue Manager onsite. This role is responsible for developing customer service protocols, health and safety procedures, signage and equipment needs for a brand new outdoor venue. The Theater Operations Manager sets the tone for the customer experience, and is responsible for maintaining consistency and high standards in all exhibition-venue customer interactions. The Theater Operations Manager synthesizes information and constituent needs across all festival departments to make sure Venue Managers are empowered with the information necessary for a smooth experience.

This is a full-time temporary position from February 22nd to April 23rd. This position is mostly remote, but should be based in the Bay Area due to some required in-office and onsite time both leading up to and during the festival.

Responsibilities

  • Work with the Operations Manager and Operations Coordinator on the hiring of all Venue Managers.
  • Schedule, train and manage all Venue Managers and volunteers, as needed.
  • Manage Theater Operations budget lines, including staffing.
  • Update and maintain all theater operations guides & documents, including updating the Theater Operations Manual and training presentation.
  • Work with the Operations Coordinator on COVID-19 heath and safety procedures.
  • Work with the Production Manager on venue signage and equipment needs, load ins, and load outs.
  • Work with the Special Events team to ensure smooth show and talent flow for all big nights.
  • Work with the Box Office to develop customer service best practices for all aspects of ticket sales, rush, and refund scenarios.
  • Work with the Tech and Media Manager and Operations Manager to manage flow of technical and program information each day of the festival.
  • Manage information updates across systems to ensure information is accurate, including the Grid, Tech Sheets, Production Request Forms, and more as necessary
  • Create and maintain venue resources and documents on Basecamp, including updating and uploading documents daily during the festival.
  • Complete a post-festival inventory and organization of all theater operations supplies & equipment.
  • Submit final payable hours for all Venue Managers.
  • Create a written wrap report and summary of all necessary timeline and budget info.

Qualifications

  • Must have experience with film festival theater operations.
  • Must be comfortable working in Excel.
  • Superior customer service, communication and delegation skills.
  • Experience hiring, managing and training staff; experience building large teams is a plus.
  • Experience working within predetermined budgetary goals.
  • Ability to juggle multiple tasks and deadlines across several Festival spaces while maintaining high quality of work.
  • Ability to understand how Theater Operations fit into the big pictures goals of the entire festival.
  • Excellent decision-making and creative problem-solving skills.
  • Comfortable with the heavy lifting and labor inherent in loading in and out of festival sites.
  • Comfort with Filemaker a plus.
  • Comfort in Photoshop, Visio, PowerPoint/Keynote a plus.

Pay rate: $20 per hour, eligible for overtime pay
This position will be expected to work overtime during the SFFILM Festival.

Education Intern

Overview

The Education Department is seeking a motivated intern to support our Schools at the Festival (SATF) program in April.

Responsibilities

The Youth Education Intern will assist the Director of Education and School Visit Coordinator in the preparation and implementation of all Schools at the Festival programming. Tasks will include helping preview films, coordinating outreach for Bay Area educators, developing curriculum materials, providing administrative support, assisting our virtual education screening & classroom visits, and providing any additional support to the Education Department as needed.

This is an unpaid internship from February 1 to April 30. While the role is mostly remote, Bay Area candidates are preferred.

Qualifications

  • Strong desire to work with children and/or teens in an educational setting.
  • Excellent research and writing skills.
  • Ability to take direction and work independently, as well as work on a team.
  • Excellent communication skills, both orally and in writing.
  • Previous classroom or teaching experience is preferred but not mandatory.
  • Background in filmmaking and/or film studies is preferred but not mandatory.

Filmmaker School Visit Coordinator

Overview

The Filmmaker School Visit Coordinator will support the Director of Education and Schools at the Festival Program by selecting, coordinating, scheduling, managing and presenting all online virtual school visits of Festival filmmaker guests to Bay Area K-12 classrooms. Films are selected to support the curriculum of a range of grade levels and subject areas, and all visits are interactive experiences with opportunities for students to engage with filmmakers, industry professionals, and subject area specialists in post-screening discussions and Q&As. Visits also allow the artists the opportunity to gain valuable feedback from younger audiences. All programs are developed in alignment with Common Core and California Educational Standards for Media Literacy.

This is a part-time temporary role from February 8 to March 5 and full-time temporary from March 8 to April 23. This role can be performed remotely, and we will gladly consider candidates from outside the San Francisco Bay Area.

Responsibilities

  • Responsible for selecting, coordinating, scheduling, managing and presenting all in-school visits of Festival filmmaker guests to Bay Area K-12 classrooms to show and discuss their films.
  • Virtual Event Producing as needed, including talent communication, scheduling tech checks, leading tech checks, send participant guide.

Qualifications

  • Excellent organizational and time management skills
  • Experience working with youth in a K-12 educational setting
  • Comfortable with public speaking (in the virtual setting)
  • Background in filmmaking, film studies, and/or education through either work experience or education

Pay rate: $17.50 per hour, eligible for overtime pay

Operations Assistant Manager

Overview

The Operations Assistant Manager reports to the Operations Manager and supports the overall functions of the SFFILM Operations department. The Operations Assistant Manager will have a leading role in the health and safety plan for the SFFILM Festival, and will lead the management of SFFILM volunteers. This position will have a key role in the overall customer service plan for the festival. They will also support the execution of virtual events leading up to and during the festival, as well as be expected to be onsite at in-person programs during the festival, including nights and weekends. This role provides administrative support to the Operations team and assists with the supervision of festival operations staff. This is a full time, temporary position.

This position is mostly remote, but should be based in the Bay Area due to some in-office and onsite time required both leading up to and during the festival. This position starts part-time January 11 and goes to full-time January 25 – April 23.

Responsibilities

    Operations Team Support

  • Lead on administrative project support using Basecamp, including managing department meeting schedules, meeting agendas and note taking, and following up on interdepartmental action items and deadlines.
  • Support Operations teams in onboarding and supervising festival operations staff (Theater Operations, Production, Virtual Event Managers).
  • Support Production team, including equipment inventory, festival load in and load outs, and production moves during the festival.
  • Support Theater Operations team, including staffing, scheduling, and acting as a floating venue manager during the festival.
  • Support Virtual Events team during the festival, including producing events if necessary.

    Volunteer Management

    We expect significantly reduced volunteer needs for our 2021 SFFILM Festival, and will not have a full time Volunteer Manager. Thus, the Operations Assistant Manager will:

  • Manage all volunteer communication, including e-mails and Shiftboard updates.
  • Create and post volunteer shift schedules and manage the process of volunteer sign ups, working with departments to identify volunteer needs.
  • Manage volunteer benefits.
  • Create and lead volunteer orientations, if needed.

    Customer Service

  • Work closely with the Operations Manager, Communications team, and Box Office team to create customer service policies and documents.
  • Schedule and train customer service staff.
  • Work with the Tech and Media Assistant Manager to ensure necessary customer communication is included in virtual assets, signage, etc.

    Virtual Events

  • Leading up to the film festival, lead project management for virtual events, include talent communication, leading tech checks, and working with Tech Director on event production.
  • Lead establishment and execution of Health and Safety protocols for the festival, including potentially arranging COVID-19 testing for staff.
  • Work closely with the Operations Manager on accessibility initiatives, such as captioning events and ASL interpretation.
  • Assist with research and administrative projects as needed.
  • Support administration in Basecamp, Shiftboard, and Filemaker.
  • Create a written wrap report and summary of all necessary timeline and budget info.

Qualifications

  • An interest in learning about multiple facets of film festival event operations will lend itself to a satisfying experience in this role.
  • Ability to be flexible, as a new landscape with a mostly virtual festival is likely to present unexpected needs and challenges.
  • Experience with event production strongly preferred.
  • Experience with staff or volunteer management preferred.
  • Experience with house management/venue management or comparable crowd/queue management.
  • Strong writing skills/ability to articulate customer service.
  • Excellent organizational and time management skills.
  • Must be proactive and highly communicative.
  • Ability to work autonomously, with minimal supervision and a limited budget.
  • Ability to handle multiple tasks simultaneously, to prioritize effectively, and to respond to last-minute requests.
  • Experience with project management systems such as Basecamp a plus.
  • Willingness/ability to perform heavy lifting.
  • Must have valid Driver’s license.

Communications Project Manager

Overview

The Communications team at SFFILM is seeking a Project Manager to oversee the planning, execution, launch, and completion of various Festival marketing projects and campaigns for the 64th San Francisco International Film Festival (April 9–18, 2021).

The Communications Project Manager is the glue that keeps our people and projects together, ensuring high-quality materials are delivered on time and on budget. This seasonal position is responsible for fostering and driving significant cross-departmental collaboration, communication, and deadline setting. The Manager develops departmental workflows and schedules, keeping staff members on task and serving as the primary point of contact for other departments and external agencies, vendors, and partners. With a focus on design, advertising, branding, digital, and video, the Manager is a key creative contributor who works with a variety of stakeholders to shepherd projects from concept to completion.

This is a full-time temporary role from January 11 – April 16, 2021. While the role is mostly remote, Bay Area candidates are preferred. Applications will be reviewed on a rolling basis through Friday, December 11.

Responsibilities

  • Develops all marketing project plans and manages their day-to-day execution and delivery in coordination with other members of the Communications department as well as cross-functional teams and external creative agencies and vendors.
  • Creates and executes project plans, including deadlines, specs, assets, budget, vendor coordination, status updates, approvals, and final delivery.
  • Manages project budget, scope, schedule, and resources.
  • Project manages the development, production, and dissemination of creative materials (print, video, or digital) for SFFILM Festival.
  • Serves as the main point of contact for colleagues in other departments to ensure all of SFFILM’s creative materials needs are delivered by the Communications team in a timely manner.
  • Builds and tracks production schedules and workflows; communicate deadlines, tasks, priorities across the organization.
  • Collaborates with and manage designers, video editors, external agencies and vendors, and marketing and programming partners.
  • Adheres to creative and content briefs to keep staff and partners on track.
  • Coordinates and contributes to reviews of print, digital, video, and creative content; works with stakeholders on revisions and approvals.
  • Arranges printing and distribution of collateral; works with printers, mail houses, and other vendors.
  • Proofreads all materials and ensures compliance with SFFILM brand across all internal- and external-facing materials related to the Festival.
  • Serves as key strategic and creative partner for all Communications and Development colleagues and projects, collaborating across teams to build audience and member acquisition campaigns.
  • Assists with marketing-specific aspects of SFFILM event production.

Qualifications

  • Past experience in marketing project management or related field preferred but not required.
  • Demonstrated skills in planning, organizing and executing projects of varying complexity and delivering them within specified timeframes and budgets
  • Demonstrated ability to effectively prioritize multiple projects and manage results
  • Ability to anticipate changes, communicating promptly and efficiently and maintain flexibility
  • Experience with digital tools for content and project management including WordPress CMS, MailChimp, Basecamp, Google Apps, Outlook, FileMaker Pro, and social media platforms and tools.
  • Passion for movies and festivals is a plus!
