Operations

Tech and Media Manager

Overview

Reporting to the Director of Operations, the Tech and Media manager is responsible for executing all technical and audio-visual requirements related to the 2022 SFFILM Festival, as well as supporting creation, management & collection, and successful display of specific media assets. This includes planning for and renting all Festival A/V equipment, installation execution, and successful hiring, staffing, and management of tech support, projection, and audio-visual personnel within budget. The Tech and Media Manager will work closely with the Communication and Programming Departments, including the Print Traffic Manager, in the solicitation and creation of specific media assets for exhibition and events, as well as the collection of video capture from Festival events.

This position is expected to provide on-site support for the 10 day, in-person SFFILM Festival in venues across the San Francisco Bay Area, as well as several launch events, and to work in accordance with in-office requirements as determined by organization-wide and department policies.

This is a full-time temporary role from February 7 – May 6, paid at a rate of $24 per hour. This role will have some overtime expected pre-festival, with a higher volume of overtime hours in the immediate lead up to and duration of the SFFILM Festival (April 21 – May 1).

Covid-19 Safety: Seasonal staff at the 2022 SFFILM Festival may be required to engage in public-facing roles and thus are required to provide proof of vaccination for employment. 

Remote Work Accommodation: Seasonal staff are expected to be based in the Bay Area, however if your contract begins before March 1, 2022, SFFILM may be able to accommodate fully remote work prior to that date. Remote work policies are subject to change based on city and state recommendations around COVID-19 safety.

Responsibilities

  • Determine, procure, install, staff, and return all technical equipment rentals for the 2022 SFFILM Festival exhibition venues, event, office and hospitality spaces, and launch events within budget
  • Hire, schedule, and onboard technical staff and projectionists across all Festival launch and exhibition venues
  • Work with Director of Operations and Production Manager on planning and executing load-ins and load-outs for all exhibition venues, as well as event, office, and lounge spaces as needed
  • Work with the Director of Education on technical needs related to Schools at the Festival programming
  • Manage and oversee specialized technical contractors providing support for enhanced programs with additional technical needs, such as Music and Film.
  • With the support of the Director of Operations, lead the install of accessibility devices for audiences at our exhibition venues, including identifying and working with external vendors, testing equipment, training staff, and troubleshooting during festival 
  • Support the Operations team in implementing audio, visual, and media playback needs identified for constituent training events, pre-Festival cultivation events, the Press Conference and Members Night, Staff and Volunteer trainings, Volunteer appreciation, and Staff celebration events
  • Create and maintain The Grid, a resource which serves as the bible for programming information during the festival.
  • Work with the Communications team, Programming team, and Print Traffic on the communication of technical needs for collection, management, and delivery of media to venues, including creating keynotes.
  • Liaise with technical and projection personnel at partner venues on venue-specific staff and equipment needs, as well as on tech check protocols and timing; this includes projects like projector maintenance and testing at certain historic venues
  • Support the integration of video capture set-ups and team needs into existing venue configurations
  • Work closely with the Special Events team on all technical aspects of onstage event production and special event execution
  • Work with the Communications team and Special Events team on the management of media for enhanced programs such as Essential SF and the Golden Gate Awards
  • Support the set-up and execution of virtual Q&As and conversations for exhibition in a theatrical setting, as needed
  • Support the triage necessary to transition live events to a virtual format, whenever required
  • Support ongoing technical partnerships and work with the Director of Operations to identify additional opportunities for partnership or sponsorship expansion
  • Participation in staff trainings and orientations
  • Create a written wrap-report and summary of all necessary timeline info

Qualifications

  • Experience setting-up and operating basic audio-visual packages including microphones and PA systems, simple live music amplification, presentation and theatrical lighting, and media playback devices
  • Experience managing specialized technical personnel and supporting timely equipment install and removal
  • Experience and comfort supporting and trouble-shooting live events and familiarity with the pressures and challenges of onstage production with high-touch constituents
  • Familiarity with projection technologies and challenges, including DCP
  • Ability to communicate clearly and consistently with people of all levels of technical sophistication and experience
  • Strong project management, time management, and personnel management skills
  • Comfort working with media editing or playback tools, including Keynote, Adobe, and FinalCut a plus
  • Familiarity with virtual presentation tools and technology, as well as video conferencing platforms and basic production is a plus
  • Able and comfortable performing heavy lifting (up to 50 lbs)
  • Must be proactive, communicative, and able to work with minimal supervision and a limited budget
  • Ability to handle multiple tasks simultaneously, to prioritize effectively, and to respond to last-minute requests
  • Must have a valid driver’s license and clean driving record, and be comfortable driving a van, U-Haul, or other oversized vehicle. Offer will be contingent upon approval from our insurance
  • Comfort in Google Drive, FileMaker, and Basecamp a plus

Festival HQ and Lounge Manager

Overview

The Festival HQ & Lounge Manager is a twofold role, responsible for the design, build out, and management of both the hospitality lounges and staff working spaces during the SFFILM Festival, supported by the HQ & Lounge team. For the 2022 Festival, this will mean managing hospitality activity at SFFILM’s year round office space as well as additional satellite venues, with this role responsible for the creation of a welcoming aesthetic at both, ensuring smooth operations for all festival staff and guests, and serving as a primary liaison to venue partners. The role will also manage temporary staff office spaces for the duration of the Festival, including establishing a primary Festival HQ at SFFILM’s year round office along with satellite offices spaces at additional venues where needed.

The HQ & Lounge Manager will work closely with the Health and Safety Coordinator to ensure all hospitality and office spaces are adhering to COVID-19 safety protocols. This team will also work with the Director of Operations to ensure all spaces are accessible to patrons with a variety of accommodation needs. The SFFILM Festival often creates partnerships with new hospitality venues each festival, so the Festival HQ & Lounge Manager is expected to be flexible and nimble in shifting priorities and pl-ans, especially in 2022 when we will be monitoring evolving guidelines and practices around COVID-19 policies leading up to the festival.

This is a full-time temporary role from February 21 – May 13, paid at a rate of $22 per hour. This role has the expectation of some overtime required pre-festival, with overtime hours increasing during the SFFILM Festival (April 21 – May 1).

Responsibilities

  • Create an effective design plan for each hospitality and office space, coordinating closely with the Office Manager and SFFILM Makers/Filmhouse team to establish functional spaces in the year-round SFFILM offices
  • Manage an Assistant Manager and Coordinator, as well as HQ & Lounge volunteers
  • Work closely with the Director of Operations and Festival Operations Manager on all pre-Festival planning, scheduling, and contracts for the external Festival Lounge and satellite venue offices, including securing any necessary licenses and permits 
  • Work with the Development department to procure food and beverage donations for Festival HQ and Lounge, and to fulfill sponsorship contracts in those spaces, including managing deliveries, leading activations, and programming sponsored events
  • Program and operationally plan for public and badge-holder events and entertainment in Lounge spaces such as mixers, receptions, and panels – all in line with the Festival’s Health and Safety plan
  • Work with Tech and Media Manager on AV equipment needs, load in, and load out, including tech staffing when necessary
  • Work with Communications and other teams as needed to ensure HQ and Lounge information is properly disseminated to the public as needed, including accessibility information and communication of COVID-19 safety protocols
  • Work with multiple departments to manage and communicate a schedule of Festival Lounge events, including private receptions when applicable
  • Act as host for festival guests, maintaining clean, well-stocked hospitality spaces
  • Manage the Festival Lounge bar when necessary, including tracking inventory and staffing volunteer bartenders 
  • Procure, build out, and maintain satellite venue offices with the essential equipment on-site staff need to operate efficiently (printers, WiFi, tables, etc.), 
  • Work with all departments to ensure office functions are being met, including incorporating potential Green Room, Press Line, and COVID-19 testing spaces into planning layouts at according venues
  • Work closely with the Director of Operations and others on accessibility at all venues
  • Act as office manager for temporary office spaces, clearly communicating policies and procedures to staff, and maintaining clean, well-stocked office spaces through organizing inventory
  • Procure all furniture and décor for Festival HQ, Lounges, and all satellite office spaces
  • Work with the Production Manager to project manage the movement of furniture, product, equipment, and supplies to temporary venues throughout the Festival 
  • Work with the Production Manager to schedule Production Assistant support in the HQ and offices as needed
  • Manage physical set-up and breakdown of these spaces, including delivery, return, and payment of all rented furniture and equipment
  • Manage budgets and maintain thorough tracking of all expenses incurred during the festival
  • Create a written wrap-report and summary of all necessary timeline info, including a summary of outreach timing to sponsors and artists regarding programming events and decor acquisition

Qualifications

  • Excellent communication and customer service skills
  • Experience managing a team, with strong ability to delegate 
  • Experience designing, physically producing, and managing functional and welcoming public spaces on a tight budget, including the programming and planning of events.
  • Experience with project management, scheduling, and organization systems like Excel 
  • Excellent decision-making and creative problem-solving skills
  • Ability to juggle multiple tasks and deadlines across several Festival spaces while maintaining high quality of work and a positive attitude 
  • Experience navigating events in a COVID-19 landscape, flexibly pivoting operational plans and logistics to meet evolving Health and Safety standards
  • At ease interacting with people with vastly different backgrounds and roles
  • Comfortable with the heavy lifting and labor inherent in loading in and out festival sites
  • Comfort in Photoshop, Visio, PowerPoint/Keynote a plus
  • Familiarity with Bay Area event venues, artists, and performers a plus
  • Familiarity with permitting and licenses in the Bay Area a plus

Special Events Manager

Overview

Reporting to the Director of Operations, and with the support of the Festival Events team and the Operations Department, the Special Events Manager acts as lead on producing, project managing, and executing all Festival and pre-Festival parties, receptions, and other special events, as well as all Festival Live & Onstage events. This includes the Opening Night party, 4-7 small receptions and cultivation events, the Golden Gate Awards, Press Conference and Members Night, as well as the Volunteer Appreciation Party and Bay Area Filmmakers Reception and Essential SF.

The Special Events Manager also produces and executes the Live & Onstage and enhanced programs during the Festival. This role works closely with the Director of Operations to ensure accessibility at all events is a priority, and they will work with the Health and Safety Coordinator on ensuring all COVID-19 safety procedures are followed. They work closely with the Programming Department to liaise with talent, including designing and communicating run of show needs, as well as the Festival Technical team to execute onstage event requirements. The Special Events Manager also works closely with the Development and Communications teams on sponsorship procurement, fulfillment, and the invitation process.

Responsibilities

  • Responsible for lead producing and project managing all Festival parties and receptions, bringing events from conception to execution within budget
  • Responsible for lead producing and project managing all Festival Live & Onstage and enhanced events, including shaping run of show and production needs while balancing the talent, constituent, and audience priorities for each event
  • Responsible for all elements of the Opening Night Party (approximately 800 person capacity)
  • Work interdepartmentally to balance the needs of various constituencies at events, including sponsors, filmmakers, guests, and Board
  • Manage the Special Events Assistant Manager and Coordinator, as well as all Special Event volunteers
  • Work closely with the Programming Team and Guest Office on communication with and scheduling of talent for in-person events
  • Communicate directly with talent and representatives on scheduling, production, and related media needs
  • Work closely with the Tech and Media Manager on all technical aspects of onstage event production and special event execution
  • Work with the Director of Operations and Production Manager on planning and executing load-ins and load-outs for Special Event and Live & Onstage venues

  • Work closely with Director of Operations to prioritize accessibility at all events, and make sure accessibility information is properly communicated across departments and to all necessary public touchpoints
  • Act as project manager on certain online streaming events, including creating showflows and leading production meetings as needed
  • Support the triage necessary to transition live events to a virtual format, whenever required
  • Responsible for overseeing hospitality needs for in-theater talent and special event VIPs
  • Support additional showflow, talent management, and potential security considerations for press lines and red carpets

Qualifications

  • 2-5 years experience managing events of varying size, budget, and scope
  • Experience producing live events and familiarity with the pressures and challenges of onstage production with high-touch constituents
  • Experience liaising with high-touch constituents and balancing competing, and often urgent, needs
  • Experience working in a non-profit professional environment
  • Experience managing event and production staff and working with venue management
  • Experience with food and beverage logistics and permitting
  • Familiarity with virtual presentation tools and technology, as well as video conferencing platforms and basic production a plus
  • Experience creating accessible events for a variety of accommodations is a plus
  • Experience with film festivals is a plus

Health and Safety Coordinator

Overview

This position, which has been newly created in 2022, will work closely with the Operations and Executive teams on the planning and execution of safety protocols and procedures related to COVID-19. This will include leading any All Staff communication and trainings, managing onsite testing and reporting, and supporting public-facing staff in providing clear and consistent customer service in COVID-19 related interactions. At this time, this role will be focused on managing testing for staff and filmmaker guests, however this person should be prepared to respond to evolving guidelines and practices around COVID-19 policies leading up to the festival, including changes in the scope of this testing.

This position is expected to provide on-site support for the 10-day, in-person SFFILM Festival in venues across the San Francisco Bay Area, as well as several launch events, and to work in accordance with in-office requirements as determined by organization-wide and department policies.

  • Work closely with Director of Operations, Senior Manager of HR, and Executive Director to develop and implement COVID-19 safety procedures for the 2022 SFFILM Festival, including process for testing staff and filmmakers and reporting results, and triaging and responding to key potential COVID-19 related scenarios leading up to and during the Festival
  • Act as project manager for deadlines and deliverables related to COVID-19 safety plans, working closely with the Director of Operations 
  • Lead All Staff communication about COVID-19 safety protocols, including creating informational materials, and organize the tracking of all testing and results
  • Train staff and volunteers on COVID-19 policies and protocols
  • Act as main point of contact for COVID-19 testing vendor, including beta testing systems, and managing testing facilities during the festival
  • Research and stay informed on the policies and procedures of similar events in the industry and Bay Area
  • Source and manage distribution and resupply of COVID-19 related PPE for customer-facing positions and volunteers, including sourcing COVID-19 PCR and antigen tests, as needed
  • Create and produce informational signage for staff and patron policies related to COVID-19, and oversee install and ongoing display or updating as necessary
  • Work with Operations team, especially the Production Manager, for physical load in and set up of COVID-19 testing facilities
  • Draft and update all COVID-19 FAQs, and work with Communications and Customer Service teams to make sure COVID-19 safety protocols are clearly communicated in public-facing information (such as website and program guide)
  • Work with all departments to ensure COVID-19 protocols are understood and implemented across all constituent groups (e.g. filmmakers, Board members, etc.)
  • During festival, manage testing needs and result reporting; work with Senior Leadership team on escalating health concerns and contingencies for sick or positive-testing staff
  • Work closely with the Special Events Team and the Theater Operations Team to ensure that all COVID-19 policies and procedures are accounted for in event management and theater operations plans
  • Work closely with the Volunteer Manager to ensure that all COVID-19 policies and procedures are integrated into volunteer communications, training and management policies
  • Work closely with Guest Office and Programming to communicate all guest and filmmaker COVID-19 policies and develop clear responses and protocols for questions and emergent needs
  • Train and support all Box Office staff on COVID-19 policies and customer service FAQs
  • Work closely with the Director of Education on COVID-19 policies specific to Schools at the Festival and education programming

Qualifications

  • Demonstrated experience managing sensitive and confidential material in the workplace

Theater Operations Manager

Overview

The Theater Operations team is responsible for the management of on-site staff and customer service for the festival’s four in-person exhibition spaces. The Theater Operations Manager prepares logistical operation plans for each of these festival venues, which includes mapping and organizing equipment needed, determining staffing needs for each venue and a variety of event presentation styles, and building a thorough collection of resources to be the foundation of standard practice at each venue. They will manage the hiring and training of all Venue, House, and Line Management staff, transitioning into a supervisory role during the festival where they will manage these staff, volunteers, and coordinate with Venue contacts on-site to ensure smooth operational flow.

This role sets the tone for the in-person patron experience, and is responsible for maintaining consistency and high standards in all customer interactions. This includes upholding health and safety plans, which the TOPS Manager will work closely on crafting and implementing with the Health & Safety Coordinator. This also includes ensuring Theater Operations procedures align with SFFILM’s commitment to accessibility in all forms, going beyond ADA compliance. This position will synthesize information and constituent needs across all festival departments to make sure Venue Managers are empowered with the information necessary to execute a smooth and safe experience.

This is a full-time temporary role from February 14 – May 13, paid at a rate of $22 per hour. While not much overtime will be expected pre-festival, this role has the expectation of a high volume of overtime hours, especially in the immediate lead up to and duration of the SFFILM Festival (April 21-May 1).

Covid-19 Safety: Seasonal staff at the 2022 SFFILM Festival may be required to engage in public-facing roles and thus are required to provide proof of vaccination for employment. 

Remote Work Accommodation: Seasonal staff are expected to be based in the Bay Area, however if your contract begins before March 1, 2022, SFFILM may be able to accommodate fully remote work prior to that date. Remote work policies are subject to change based on city and state recommendations around COVID-19 safety.

Responsibilities

  • Work with the Director of Operations and the Festival Operations Manager on the hiring of all Venue Managers
  • Schedule, train, and manage all Venue Managers, House Managers, Line Managers, and Lead Volunteers across the Festival, ensuring adequate coverage and breaks
  • Manage Theater Operations budget lines, including staffing equipment costs
  • Schedule all Theater Operations volunteers and work with the Volunteer Manager to ensure strong coverage across venues, taking anticipated high impact and heavily trafficked events and shows into account
  • Update and maintain all theater operations guides & documents accordingly, including updating the Theater Operations Manual and training presentation to reflect venue policy changes in 2022 along with all of the additional COVID-19 safety procedures
  • Work closely with the festival Health and Safety Coordinator to ensure not only the proper protective equipment and resources are prepared for and available on-site at each venue, but also integrate the most up to date policy and procedure into the customer service plan, which will be an critical part of venue staff training materials
  • Work closely with the Director of Operations and others on accessibility at all venues, including working with the Tech and Media Manager on the installation and implementation of accessibility devices, and training venue staff on these devices
  • Work with Operations Leadership to ensure all rules and policies for the venues being utilized in 2022 are adhered to on-site
  • Manage resources on Basecamp, including updating and uploading documents daily during the festival
  • Organize all TOPS equipment, managing supply orders and working with Production to share resources as necessary 
  • Work with the Production Manager on the movement of venue signage and furniture across each venue, along with all equipment needed for load in and load out
  • Work with the Special Events Manager to ensure smooth show and talent flow for all big nights, subsequently marking and communicating plans for high impact shows to all staff
  • Work with the Director of Education and the Education team on understanding Schools at the Festival programming and supporting those screening needs
  • Work with the Box Office to develop customer service best practices for all aspects of ticket sales, seating, rush, and refund scenarios, incorporating this into comprehensive training
  • Work with the Tech and Media Manager on access times, load in and load out, tech checks
  • Work with the Tech and Media Manager and Festival Operations Manager to manage daily flow of technical and program information each day of the festival
  • Work with the Special Events Manager & Production Manager to set-up green rooms, anticipate and actualize Step and Repeats or other press line set-ups, and conduct onstage furniture movement
  • Work with all departments as needed on reserve seating
  • Support Venue Managers onsite with all front of house duties, frequently visiting all venues during the festival
  • Manage the ordering and deployment of Theater Operations specific supplies and equipment
  • Monitor and submit final payable hours for all Venue Managers
  • Complete a post-festival inventory and organization of all theater operations supplies & equipment
  • Create a written wrap-report and summary of all necessary timeline and budget info

Qualifications

  • Must have experience with film festival theater operations
  • Must be comfortable working in Excel
  • Superior customer service, communication, and delegation skills
  • Experience hiring, managing and training staff; experience building large teams is a plus
  • Experience working within predetermined budgetary goals
  • Ability to juggle multiple tasks and deadlines across several Festival spaces while maintaining high quality of work
  • Comfort navigating events in a Covid landscape, flexibly pivoting operational plans and logistics
  • Experience creating accessible events for a variety of accommodations is a plus
  • Excellent decision-making and creative problem-solving skills
  • Comfortable with the heavy lifting and labor inherent in loading in and out of festival sites
  • Comfort with Google Drive and Filemaker a plus 
  • Comfort in Photoshop, Visio, PowerPoint/Keynote a plus
