Guest Office Manager

Overview

This position has been filled for the 2024 SFFILM Festival.

The Guest Office Manager is a full time, seasonal position that reports to the Director of Programming and works closely internally with multiple SFFILM roles and departments, and externally with SFFILM Festival guests.

This position will supervise the Guest Office team, which is responsible for all hospitality for visiting guests at the 2024 San Francisco International Film Festival. The individual will help hire and manage a team of individuals to execute the below duties for the spring Guest Office and will be responsible for at least two direct reports in the lead up to the festival (January – May). This is an excellent opportunity for someone with experience supporting filmmakers and managing teams and budgets, and interested in developing their skills with the preeminent Bay Area festival.

The Guest Office Manager will partner with the SFFILM Programming department, including the Transportation team, and will work with SFFILM fundraising, operations, education and artist development team members to create an exceptional guest experience during the SFFILM Festival. As a key point of contact for invited SFFILM guests, this role will be expected to work from our SOMA office several days per week depending on department needs. Some night and weekend availability is required, especially during the SFFILM Festival (April 24 – 28).

Application review begins January 4 but will be rolling after that. The ideal start date for this position is mid-January. This position is paid hourly at the rate of $25 per hour and is eligible for overtime. The end date for this role is May 9, 2024.

Responsibilities

  • Provide guest management and hospitality for high-level talent and filmmakers for the SFFILM Festival and ad hoc events in the winter.
  • Supervise all activities of the Guest Office department, including direct management, and allocation of tasks to the Guest Office Assistant Manager and Coordinator for the festival season.
  • Manage department budget, working closely with the Director of Programming (DP) to ensure hospitality expenses remain within scope.
  • With support from DP, collaborate with the Transportation department to ensure smooth overall communication between Guest Office and Transportation for the festival season.
  • Oversee departmental communications for all SFFILM guests, including personal itineraries, updating invitations and welcome letters, creating, and disseminating welcome packs, and overseeing the SFFILM Guest Office Website.
  • Oversee accommodation for all festival guests, including liaising with multiple hotels, assigning accommodations to guests, maintaining master hotel grid, and overseeing airfare reimbursements. 
  • In collaboration with the Development Department, actively contribute to management and billing with Festival Partnership Hotels. 
  • Ensure all event/festival benefits are available to filmmakers as appropriate, assisting with ticket requests and communication with producers/studios/distributors, and ensuring internal holds are efficiently managed. 
  • Manage all guest check-in staffing and workflow for guests for all SFFILM events.
  • Oversee all guest support for Talks as needed at the SFFILM Festival.
  • Revamp and publish the Guest Office Website and keep all information current in the lead up and during the festival.
  • Provide support during Industry Days to Programming and Makers. Industry Days is a two day, in-person event providing networking and panel discussions for 100+ filmmakers. 
  • Oversee Jury accommodations and execute the Jury luncheon. 
  • Create a cohesive wrap report for each position, reconcile all expenses, and close out all accounts. 
  • Work with the Programming Team to ensure Thank Yous are dispatched upon the festival’s conclusion to key constituents.

Qualifications

  • 2+ years of Guest/Artist Relations or Film Festival experience required. 
  • Excellent communication skills.
  • Demonstrated experience in budget and staff management required.
  • Ability to juggle multiple tasks and competing timelines.
  • Excellent decision-making and creative problem-solving skills.
  • Ability to be welcoming and comfortable interacting with people with vastly different backgrounds and roles.
  • Proficient in Microsoft Office suite and experienced in database usage (FilemakerPro preferred).
  • Proficient in Squarespace website creation and management.
  • Knowledge of foreign languages is a plus.

Press Office Coordinator

Overview

The Communications team at SFFILM is seeking a detail-oriented Press Office Coordinator for the 2024 San Francisco International Film Festival. The Press Office Coordinator is responsible for coordination and administrative support of all activities of the Press Office leading up to and during the SFFILM Festival, primarily focused on supporting the earned media strategy and accredited media logistics. This role will serve as a connection between the systems and content from the Communications and Programming teams and our Publicity team. This position reports to SFFILM’s Director of External Relations.

This role will be expected to work from our SOMA office 2 to 3 days per week depending on department needs. Some night and weekend availability is required, especially during the SFFILM Festival (April 24 – 28). Onsite availability at Bay Area venues is expected April 22 – 28.

This is a seasonal position with a start date of February 12, 2024 and an end date of May 2, 2024. This position is full-time, 40 hours per week and is paid hourly at the rate of $23 per hour and is eligible for overtime. Application review begins January 22 but will be rolling after that.

Responsibilities

  • Manage local media accreditation process (100~ applications), including outlet review/investigation, communication of approval/denial, and credential production.
  • Manage email communication with film teams, studios, and distributors around press access for screeners and other press materials.
  • In collaboration with the Digital Content Manager, collect, organize, and process press materials for all SFFILM exhibition programs, including screeners, images, press kits, and clips.
  • Lead setup of press download site on SFFILM.org and Dropbox, including upload of 200+ individual assets for rolling program announcements.
  • Collaborate with PR team on materials processing and coverage tracking.
  • Manage screener checkout system for press per Programming team’s instructions.
  • Facilitate setup of interview space.
  • Copyedit and route press release drafts for SFFILM programs as needed.
  • Work screenings, events, red carpets, and receptions as needed.
  • In collaboration with the Publicity, Programming, and Guest Office teams, support coordination, communication, and execution of talent movements between arrival, press, receptions/dinners, onstage, and departure for Festival events.
  • Support integration of any talent prep needs into pre-event communications with SFFILM Guest Office, PR team, and Event Producer.
  • Write and submit a wrap report.

Qualifications

  • Extreme attention to detail, time management, and follow-through.
  • Excellent writing and copy editing skills.
  • Ability to wrangle and organize thousands of individual assets (images, press kits, bios, video files, screening links) in a coherent and accessible manner.
  • Experience working with journalists and film teams, studios and distributors.
  • Comfort and experience working with studio and publicity teams in support of high-level talent.
  • Experience collaborating with event support staff and volunteers.
  • Superior and discreet communication skills, both email and phone.
  • Ability to work effectively as part of a team.
  • Proven ability to multitask and prioritize effectively,

Marketing Coordinator

Overview

The Marketing Coordinator is responsible for coordinating and managing various marketing projects for the 65th San Francisco International Film Festival (April 21–May 1). This role executes against creative briefs, marketing plans, and campaigns by overseeing workflows and schedules, keeping stakeholders on task, and serving as the primary point of contact for other departments and external agencies, vendors, and partners associated with those projects. With a focus on design, advertising, branding, and video, the Marketing Coordinator is a key creative contributor who is focused on achieving the goals of the campaigns.

This is a full-time temporary role from February 28 – May 6, paid at a rate of $22 per hour. This position will be expected to work overtime prior to and during the SFFILM Festival (April 21 – May 1).

Covid-19 Safety: Seasonal staff at the 2022 SFFILM Festival may be required to engage in public-facing roles and thus are required to provide proof of vaccination for employment.

Responsibilities

  • Collaborates with the SFFILM Comms Team on all marketing project plans and campaigns. Manages their day-to-day execution and delivery in coordination with other members of the Communications department as well as cross-functional teams and external stakeholders for the SFFILM Festival.
  • Works with the Communications Coordinator to manage tasks for designers, video editors, external agencies and vendors, and marketing and programming partners.
  • Adheres to project budget, scope, schedule, resources, and approval workflows.
  • Using SFFILM process and templates, builds and tracks production schedules and workflows; communicates deadlines, tasks, priorities across the projects and campaigns.
  • Swiftly moves print, digital, video, and creative projects through SFFILM’s approval and revision process.
  • Adheres to creative and content briefs to keep staff and partners on track.
  • Arranges printing and distribution of collateral; works with printers, mail houses, and other vendors.
  • Proofreads all materials and ensures compliance with SFFILM brand across all internal- and external-facing materials related to the Festival.
  • Serves as key strategic and creative partner for all Communications and Development colleagues and projects, collaborating across teams to build audience and member acquisition campaigns.
  • Assists with marketing-specific aspects of SFFILM event production.
  • In collaboration with the Digital Content Manager and Communications Systems Manager, prepares a report on identified KPIs.
  • Write and submit a wrap report.

Qualifications

  • Extreme attention to detail.
  • Past experience in digital marketing is strongly preferred.
  • Past experience in event marketing is strongly preferred.
  • Demonstrated skills in planning, organizing and executing projects of varying complexity and delivering them within specified timeframes and budgets.
  • Demonstrated ability to effectively prioritize multiple projects and manage results.
  • Ability to anticipate changes, communicate promptly and efficiently and maintain flexibility.
  • Experience with digital tools for content and project management including WordPress CMS, MailChimp, Basecamp, Google Apps, Google Analytics, Outlook, FileMaker Pro, Adobe Suite, and social media platforms and tools.

Director of Development

Overview

The Director of Development is a strategic leader in SFFILM’s commitment to attracting, retaining, and engaging relationships and partnerships to support our mission-driven work through financial and in-kind contributions. Leading a year-round team of four and seasonal staff as needed, the Director is a primary architect in the design and deployment of SFFILM’s fundraising activities and operations for individual, corporate, foundation, and government support. The Director reports to the Executive Director, and is a member of SFFILM’s senior leadership team.

Working closely with the Executive Director and Board of Directors, the Director will create and execute annual and multi-year philanthropic strategies to increase contributed revenue from individual donors, corporate partners, and foundations. This position, in collaboration with the Executive Director and the senior leadership team, will steward and solicit current and prospective Board Members and major donors. Additionally, the Director will also be responsible for oversight of fundraising initiatives, including SFFILM’s annual event Awards Night.

This position works extended hours including evenings and weekends at points throughout the year. Travel will be required on occasion. The salary range for this position is $120,000 – $150,000. Position open until filled.

Responsibilities

Fundraising & Cultivation

  • Develop and execute a multi-year, sustainable fundraising plan to expand SFFILM’s contributed revenue and network of individual donors.
  • Oversee cultivation, solicitation, and stewardship of individual, corporate, and foundation/government donors, including securing, preparing for, and proactively following up on cultivation meetings, proposals, and reports.
  • Expand and maintain a portfolio of major gift individual donors and prospects; communicate with the portfolio through face-to-face solicitation and stewardship meetings, as well as written strategies.
  • Build and foster a cross-departmental culture of fundraising that capitalizes on organizational priorities and assets.
  • In collaboration with the Executive team, oversee Board member relationships and communication, including prospecting and cultivating new Board Members.
  • Working closely with the Director of Individual Giving, support the Membership program to meet annual goals and migrate donors up the loyalty ladder.
  • Working closely with the Director of Individual Giving, lead the design, planning, and execution of SFFILM Awards Night and all other fundraising and cultivation events, to attract and engage new and existing funders and audiences.
  • Be visible and accessible to the local philanthropic community, represent SFFILM initiatives by cultivating and deepening donor relationships.
  • Work with Development team on screening and preparing profiles of current and prospective members and donors; establish best practices for funder research processes; and oversee the maintenance of donor lists, applied data analytics, and moves management tracking.
  • Work with Board Development Chair(s) to advance organizational fundraising; help lead Board Development Committee meetings and support Board Development Chair(s) to present at Board of Directors meetings.

Leadership & Development Department Management

  • In partnership with the Executive Director, provide strategic and visionary leadership to create a development plan to maintain and grow annual fundraising goals in contributed revenue and membership support.
  • Lead a team of four direct reports (Director of Individual Giving, Director of Corporate & Strategic Partnerships, Development Coordinator, and the Senior Grants Manager, Foundations and Government), and support the management of additional Development and Seasonal hires as needed.
  • Create and oversee the Development expense and revenue budget.
  • Lead monthly revenue tracking and planning meetings with the Executive Director, report on progress toward goals to the Executive Director and Board, including gifts, pledges, and cash-flow projections.
  • Oversee coordination with the Finance department, ensure accurate and aligned revenue tracking in the donor CRM and Quickbooks database, and maintain compliance standards for funding sources.
  • Oversee coordination with the Communications department, and collaborate on materials and marketing strategies for all fundraising activities.
  • Recruit, nurture and motivate a strong professional team.

Qualifications

  • Successful leadership of a Development team, achieving individual and institutional fundraising goals in a nonprofit organization with annual support of least $6 million
  • Five to seven years of direct experience managing fundraising portfolios with demonstrated success in closing gifts of $10,000-$500,000 and above
  • Familiarity with the Bay Area philanthropic community and national giving landscape
  • Ability to conceive, plan, and execute a major gifts program, including annual giving, and special events
  • Experience with developing and maintaining achievable and ambitious financial projections and budgets
  • Capable of inspiring support from a variety of constituent groups, specifically in a film, media, arts, or culture organization.
  • Extensive donor database experience is highly desired, preferably with DonorPerfect.
  • Superior interpersonal skills and ability to communicate professionally with colleagues, donors and other stakeholders
  • Excellent oral and written communication skills, persuasive presentation and negotiation abilities

Filmmaker School Visit Manager

Overview

The Filmmaker School Visit Manager will support the Director of Education and Schools at the Festival Program by selecting, coordinating, scheduling, managing and presenting all in-person and online virtual school visits of Festival filmmaker guests to Bay Area K-12 classrooms. Films are selected to support the curriculum of a range of grade levels and subject areas, and all visits are interactive experiences with opportunities for students to engage with filmmakers, industry professionals, and subject area specialists in post-screening discussions and Q&As. Visits also allow the artists the opportunity to gain valuable feedback from younger audiences. All programs are developed in alignment with Common Core and California Educational Standards for Media Literacy. This position will also assist with additional Schools at the Festival administrative work when needed.

This is a temporary role from February 28 – May 6, starting out as part-time and becoming full-time on April 4, and is paid at a rate of $20 per hour. This role is eligible for overtime.
