Office and Administrative Manager

Overview

SFFILM is seeking a self motivated, organized, and creative full-time, year-round Office Manager to join our team in a role essential to the administrative operations of a busy non-profit and management of our office and facilities. This position is a great fit for a person who wants to support and grow skills in non-profit arts administration, HR, and finance. The Office Manager works closely with the entire organization, but also has numerous independent projects and significant self-directed time.

The Office Manager is a full-time position that reports to the Director of Operations, while also strongly supporting the work of the Director of HR and Administration. This position will be key to the smooth running of our office space, including front desk management and customer service, supply ordering, and serving as a point of contact for facilities related vendors and contractors. This role will work closely on SFFILM hiring and onboarding processes, as well as support the financial reconciliation and compliance requirements of the finance and executive wing of the organization.

As a core member of the Operations team, this role will also support on-site production for events including the San Francisco International Film Festival, Doc Stories, Awards Night, and more, and will help manage inventory and storage throughout the year.

As the first point of contact for office guests and facilities related needs, this role will be expected to work from our SOMA office Monday through Thursday, with the option to work remotely on Fridays. Some night and weekend availability is required, especially during event seasons.

Application review begins August 11, but will be rolling after that. This position is paid hourly at the rate of $23-$25 per hour depending on experience and is eligible for all SFFILM benefits and overtime.

Responsibilities

  • Office Management
    • Lead management of SFFILM office including, but not limited to, inbound and outbound mail, phone reception, managing office supply orders and office hardware, managing kitchen cleaning and supplies, and greeting guests upon arrival.
    • Manage all office and event production supplies, keeping storage clean, organized, and inventoried.
    • Oversee the scheduling and coordinating of shared office space and conference rooms for meetings, workshops, etc.
    • Serve as the primary point of contact for property manager and facilities vendors (IT, janitorial, and others) as needed.
    • Serve as a key member of the customer service team, receiving all general calls, emails, online chat bot, and other inquiries and distributing them to the appropriate department when necessary.
    • Act as main point of contact for subletters of office spaces, including providing office tours to prospective subletters, and supporting questions and facility requests.
    • Provide light IT administrative support including computer set up, phone system maintenance, password resets, and other minor troubleshooting.
    • With the support of the Director of Operations and Executive team, lead the planning and executing of internal events for staff morale.
    • Maintain year-round materials such as SFFILM HQ calendar, Org Chart and Festival staff contact sheet.
      During non-event periods, manage Production Van, including parking, keys, and van maintenance.
  • Finance and Administation
    • Working closely with the Director of HR and Administration, support financial tracking and compliance checklists.
    • Project manage org-wide credit card reconciliation.
    • Support SFFILM accounts payable process via Filemaker and Bill.com.
    • Manage logging of all administrative mail and checks.
    • Support deposit of checks.
  • New Staff Hiring and Onboarding
    • Support the Director of HR & Administration with all candidate search processes, including reviewing and tracking applicants, project managing hiring workflows, and supporting candidate communications.
    • Assist with creation of seasonal agreements for new staff.
    • Project manage IT set up for new hires, including equipment and account set ups.
    • Lead orientations, office tours, and security trainings for new staff.
    • Own administrative tasks for onboarding and offboarding staff such as assigning Basecamp to-dos, scheduling Welcome
    • Emails, and equipment deployment/return.
    • Update Org Chart, Festival staff contact sheet, AirTable databases, Google Listservs, and other materials as needed when new staff is onboarded or offboarded
    • Program and manage the tracking of office key fobs and security assets for staff,FilmHouse residents, and subtenants
    • Update onboarding materials for content and character
  • Production and Event Support
    • Support Operations team members with event production, including keeping inventory organized, staging materials for events, and acting as a Production Assistant during event load ins and load outs as needed.
    • Support on-the-ground event operations including front of house theater operations needs, event support, and other duties as needed.
    • Lead all Festival and year-round badge printing processes.
    • Work closely with the Communications team and other Operations teams to support the ordering and implementation of signage for all SFFILM events.

Qualifications

  • 1-3 years experience in office administration, facilities management/support, and/or event operations.
  • An interest in learning about multiple facets of non-profit operations will lend itself to a satisfying experience in this role.
  • Extremely detail oriented with experience is managing organizational systems.
  • Able to demonstrate strong writing skills, especially in a customer service setting.
  • Must be proactive and highly communicative.
  • Ability to work autonomously, with minimal supervision and a limited budget.
  • Ability to handle multiple tasks simultaneously, to prioritize effectively, and to respond to last-minute requests.
  • Experience with project management systems such as Basecamp is a plus.
  • Willingness/ability to perform heavy lifting up to 50 lbs.
  • Must have a valid driver’s license and clean driving record, and be comfortable driving a van. Offer will be contingent upon approval from our insurance.

SFFILM Festival Volunteer Screening Committee

Be the first to see what’s submitted to the 69th San Francisco International Film Festival and help us select titles for the festival in 2026.

Our Screening Committees assist with viewing titles submitted to SFFILM Festival on an annual basis. SFFILM screeners support the careful curation of a robust, inclusive, and bold festival program. Whether you have a background in film, are a dedicated cinephile, or are simply curious, we’re always looking for fresh eyes and new voices to join us as we assess the thousands of thought-provoking festival submissions from around the world.

Film Screener Expectations & Responsibilities:

  • Must have reliable internet access to stream submissions
  • Should expect to watch a minimum of 40 hours of content over a five-month period (August – December 2025)
  • All screeners are required to watch assignments in full

Social Media and Communications Intern

Summary

SFFILM is seeking a creative, detail-oriented Social Media and Communications Intern to support our digital engagement efforts across platforms, with a primary focus on Instagram. Reporting to the Digital Content Manager, this intern will develop skills and build experience in planning and implementing a social media strategy to grow awareness of SFFILM’s mission, programs, and events. Outcomes will include a portfolio of social media content and engagement impact results, with an emphasis on connecting with youth and young adult audiences.

This position is ideal for students passionate about storytelling, film, and the power of digital media to foster community and engagement. Candidates with interest in film and filmmaking are especially encouraged to apply.

This internship provides valuable exposure to arts marketing and communications, and building visibility in the film/media industry. The opportunity is based in San Francisco, requires 10-12 hours per week (availability to work out of the SFFILM SOMA offices Tuesdays and/or Thursdays is essential), and runs from June through early September, 2025. This position may occasionally involve attendance at events outside of normal business hours. Application review will begin June 2, 2025.

Development Systems & Planning Intern

Summary

SFFILM’s Development Department is seeking a motivated intern with a passion for nonprofit capacity-building and film/media. This internship offers the chance to play a vital role in strengthening our fundraising systems, leading to greater long-term sustainability for the organization.

As a Development Intern, you’ll report directly to the Director of Development, assisting in the creation of essential documents like operating plans, individual prospect strategies, and research materials that will expand the department’s capacity in 2025 and beyond. You’ll have the opportunity to contribute to reports and analyses of current operations, support the creation of materials for fundraising efforts, and prepare for SFFILM events this summer.

This internship provides valuable exposure to nonprofit management, operational planning, and the film/media industry. The opportunity is based in San Francisco, requires 10-12 hours per week (availability to work out of the SFFILM SOMA offices Tuesdays and/or Thursdays is essential), and runs from June through early September, 2025, with potential extension. This position may occasionally involve attendance at events outside of normal business hours.

Youth Filmmakers Camp Internship

Summary

SFFILM is seeking 3-4 seasonal Youth Education Interns for the 2025 Summer SFFILM Youth Filmmakers Camp. This internship includes four weeks of teaching/production assistance at the Youth Filmmakers Camp (July 14th – August 8th, 2025) and 1-2 weeks supporting SFFILM Education’s curriculum and program planning prior to camp. This is an excellent opportunity to gain experience in filmmaking education, curriculum planning, and teaching. SFFILM’s Youth Filmmakers Camp is designed to educate students interested in the field of visual storytelling, increasing students’ creativity and technical skills through hands-on and classroom instruction. SFFILM Education’s goal is to enrich young filmmakers through exposure to new artforms and to build upon existing skills.

This internship requires a commitment of 2 to 4 days per week (approximately 15 to 25 hours per week) and runs from July 7, 2025 through August 8, 2025. The Interns will not be scheduled for any hours the week of June 30th – July 4th. The internship is based in-person in San Francisco, at SFFILM’s office and USF, and is unpaid. The Youth Education Intern reports to the Education Coordinator, Camp Instructor and additional SFFILM staff.

Responsibilities

  • Support camp instructors and staff at Youth Filmmakers Camp sessions as a teaching and production assistant.
  • Provide adult supervision and work directly with camp participants (ages 14–18), helping them to produce short film projects.
  • Lead break-out groups throughout pre-production, production, and post-production.
  • Document camp sessions through photos and videos.
  • Assist the instructors with all camp logistics and with the preparation and inventory of materials and resources.
  • Assist with daily loading in, loading out, setup and breakdown of camp equipment.
  • Work on other SFFILM Education projects as needed.

Qualifications

  • Strong desire to work with children and/or teens in a classroom setting.
  • Experience with basic film production, including demonstrated proficiency with digital video cameras and editing software such as Premiere Pro.
  • Experience with Google Workspace.
  • Good research skills.
  • Able to work independently on own initiative and also able to take direction as part of a team in support of the instructors and SFFILM staff.
  • Excellent communication skills, both orally and in writing.
  • Professional demeanor combined with an ability to have fun with kids.
  • Previous classroom or teaching experience is preferred but not mandatory.
  • Passion for both film and teaching.
  • Reliable transportation and availability for on-location camp work from July 14 – August 8 at the University of San Francisco and other weeks at the SFFILM office in SOMA.
  • Must be able to pass a LiveScan background check.
  • Minimum 18 years of age.
