Seasonal Special Events Manager

Overview

Reporting to the Director of Operations, the Special Events Manager leads the production, project management, and execution of all parties and receptions during SFFILM’s fall season, with a focus on Doc Stories, including the execution of a daily hospitality lounge. They will also play a key supportive role in the production of our Awards Night fundraising gala. This role will work closely with the Programming and Development departments on the goals and execution of events such as the Doc Stories 10th Anniversary Party, Doc Stories Brunch, and other parties and receptions during the fall season, and will also work closely with the Development and Communications teams on sponsorship procurement, fulfillment, and the invitation process. They will oversee any Events volunteers and staff.

This position is expected to provide on-site support for any SFFILM events during the fall, including Doc Stories (October 17 – 20) and Awards Night (December 9), in venues across the San Francisco Bay Area, and to work in accordance with in-office requirements as determined by organization-wide and department policies.

Application review begins August 12, 2024 and earliest possible start date is September 9 2024. This position is full-time, hourly, nonexempt, with an intended pay rate of $23-$24 per hour.

SFFILM currently supports a hybrid-remote schedule, with an average of 3 days in the San Francisco offices, as well as time onsite throughout the Bay Area supporting SFFILM events.

Principal Duties

  • Responsible for lead producing and project managing all SFFILM fall season parties and receptions, bringing events from conception to execution within budget
  • Responsible for the execution of the Doc Stories Lounge, including leading relationships with venue and vendors
  • Support the execution of private meals, including researching and confirming restaurants and menu planning
  • Project manage cross-departmental workflows on all event related tasks, including facilitating conversations with other relevant decision makers on event look and feel, and reconciling priorities for different constituent groups
  • Provide timely and clear information to SFFILM staff on event status during the process, and share out runs of show for all events
  • Brainstorm and manage booking venues, entertainment, catering, bar service, and activities, including surrounding logistics i.e. securing permits, executing contracts, and issuing COIs when needed
  • Manager Special Events budget, and track and submit all payments and expenses
  • Work with the Development and Communications Departments to support the invitation process for events, including contributing to copy, oversight of capacity, and pulling RSVP lists
  • Manage venue and vendor relationships, including all rentals
  • Act as a key player for producing SFFILM Awards Night, including supporting any project management, supervising staff, actively working with the production crew, and other duties as needed
  • Support planning for the SFFILM Festival, including research and outreach for event venues, and working with the Office and Production Manager on organizing inventory and other production projects
  • Work closely with the Development team on execution of sponsor obligations and in-kind partnerships
  • Support Office and Production Manager and Makers team with events at FilmHouse, including project managing of certain Filmhouse events, schedule dependent
  • Work closely with the Tech and Media Manager on all technical aspects of event production
  • Work with the Director of Operations and Production Manager on planning and executing load-ins and load-outs for all Events
  • Create safe events that are aligned with COVID-19 safety protocols
  • Work closely with Director of Operations to prioritize accessibility at all events, and make sure accessibility information is properly communicated across departments and to all necessary public touchpoints
  • Support other Operations team members and projects as needed
  • Create a written wrap-report and summary of all necessary timeline info

Experience/Skills Required

  • 2+ years experience managing events of varying size, budget, and scope
  • Experience producing live events and familiarity with the pressures and challenges of meeting the needs of high-touch constituents
  • Experience liaising with high-touch constituents and balancing competing, and often urgent, needs
  • Experience working in a non-profit professional environment
  • Experience managing event and production staff and working with venue management
  • Experience with food and beverage logistics and permitting
  • Experience creating accessible events for a variety of accommodations is a plus
  • Experience with film festivals is a plus
  • Possess great energy and efficiency and a cooperative spirit
  • Be friendly, welcoming and comfortable interacting with people with vastly different backgrounds and roles
  • Must be proactive, communicative, and able to work with minimal supervision and a limited budget
  • Ability to handle multiple tasks simultaneously, to prioritize effectively, and to respond to last-minute requests
  • Comfortable with the heavy lifting and labor inherent in loading in and out festival sites
  • Comfort in Google Drive, FileMaker, Eventbrite and Basecamp a plus
  • Familiarity with Bay Area event venues, artists, and performers a plus

SFFILM Request for Proposal and Quotes: 2024/2025 Graphic Design Services Scope of Work

SFFILM is seeking a Graphic Designer independent consultant or firm to develop and design the creation of visual assets for SFFILM’s primary event campaigns in late 2024 and early 2025, including Doc Stories, and the San Francisco International Festival.

The contract will be project-based and determined by consultant availability, but could involve working closely with SFFILM’s Marketing & Communications Project Manager to produce a wide array of media that advances the mission and brand of SFFILM through creative, strategic, and top-notch design.

We are seeking emerging and established designer and designer teams eager to demonstrate strong creative and technical skills in a fast-paced environment with broad Bay Area project visibility and impact.

About SFFILM

SFFILM is a nonprofit organization whose mission ensures independent voices in film are welcomed, heard, and given the resources to thrive. SFFILM connects and inspires audiences, students and teachers, and filmmakers through our film exhibition, youth education, and artist development programs.

What We Do

  • Film Exhibition — Public film programs year-round including the SFFILM Festival—the longest running film festival in the Americas, Doc Stories documentary series, star-studded special events, and family programming.
  • Youth Education — Special screenings, workshops, camps, and learning opportunities for more than 13,000 Bay Area students and educators all designed by SFFILM Education to cultivate media literacy, global citizenship, and a lifelong love of movies.

Possible Projects

Create and design all print and digital assets for SFFILM’s main events as assigned, project-mapped and budgeted. This might include: Doc Stories, Awards Night, and the 68th San Francisco International Film Festival.

  • Create key art, style guides, and designs by project or campaign
  • Present mockups and presentations for feedback from the Communications team and other internal stakeholders
  • Produce a variety of digital, print, and advertising and promotional assets
  • Implement consistent brand identity across a diverse array of materials.
  • Manage multiple projects from concept to completion, adhering to strict deadlines.
  • Collaborate with SFFILM’s seasonal in-house Graphic Designer.

Qualifications and Proposal Materials

Cost & Fees

Detail hourly or rate charges for all graphic design services, including any administrative fees. These fees can be hourly, project based, or a combination, but should be scaled to non-profit realities.

Before beginning each project, SFFILM will request a quote and work with the graphic design consultant to come to a consensus on budget and schedule. All work will be property of SFFILM and raw graphic design files must be submitted at a project’s completion.

Institutional Graphic Designer

Overview

SFFILM is seeking an Institutional Graphic Designer to support a branding refresh and update of institutional assets and campaigns which feature SFFILM’s established—and emerging—visual identity. The Graphic Designer will work to ensure projects and deliverables align with SFFILM’s institutional branding and business goals by helping to implement a consistent design system across a diverse array of materials. Under the supervision of the Marketing & Communications Project Manager, the Institutional Graphic Designer works closely with SFFILM’s Design consultants and Marketing & Communications Team to produce a wide array of media that advances the mission and brand of SFFILM through creative, strategic, and top-notch design.

This position is ideal for an early (and rising!) career designer seeking to utilize strong technical and branding skills in a high visibility creative field with meaningful cultural impact, a fast pace, and national and international reach.

This is a temporary, seasonal, part-time, non-exempt role. Typical hours are 25-30 hours per week, and determining a proposed schedule of availability will be part of the hiring process. Pay rate is $25-$30 per hour depending on experience. Preferred start date is July 22, and the agreement would run through December 14, 2024. Seasonal staff are expected to be based in the Bay Area. SFFILM maintains a hybrid schedule, with half the week in person and half the week remote.

Responsibilities

  • Under the direction of the Marketing & Communications Project Manager, audit current style guides and brandin
  • Based on audit and goals set by the Communications team, produce updated Brand Style Guide
  • Update and produce key branded assets for institutional collateral and campaigns including the master lockup for 2024 Doc Stories
  • Design print and digital assets and collateral for SFFILM’s institutional, year round branding (pitch decks, brochures, flyers, etc.) as well as support on some event driven assets as assigned
  • Produce static and motion graphics (based on skill) for social media and email campaigns
  • Create print and digital signage and media, from directional posters used in theater venues to onscreen slideshows projected before screenings
  • Create and present mockups and presentations for feedback from the Communications team, internal stakeholders, and some external partners

SFFILM Festival Volunteer Screening Committee

Overview

Be the first to see what’s submitted to the 68th San Francisco International Film Festival and help us select titles for the festival in 2025.

Our Screening Committees assist with viewing titles submitted to SFFILM Festival on an annual basis. SFFILM Volunteer Screeners support the careful curation of a robust, inclusive, and bold festival program. Whether you have a background in film, are a dedicated cinephile, or are simply curious, we’re always looking for fresh eyes and new voices to join us as we assess the thousands of thought-provoking festival submissions from around the world.

Evaluation training and guidelines will be provided, and honorariums are available for screeners in some instances and levels.

Film Screener Expectations & Responsibilities:

  • Must have reliable internet access to stream submissions
  • Should expect to watch a minimum of 40 hours of content over a five-month period (August – December 2024)
  • All screeners are required to watch assignments in full
  • An open mind is essential
  • Strong written communication skills needed
  • Commitment to screening a handful of films on weekly basis

Programmer

Overview

The Programming Department seeks a thoughtful, dynamic, and energetic programmer to join the curation and programming team at SFFILM. This individual will join an established team committed to bringing fresh, bold, and exciting new films to the Bay Area. They will support and participate in the collaborative work necessary to present media in a non-profit exhibition, education, and artist development environment. The programmer will contribute to a variety of public exhibitions on behalf of SFFILM, including the San Francisco International Film Festival, Doc Stories, SF Presents, as well as other year-round programs and opportunities.

The ideal candidate has a minimum of four years experience curating for another festival or film program, is fluent in feature film pipelines, has established relationships with sales agents and filmmakers, and is well versed in the festival landscape and execution responsibilities.

Application review begins July 16, 2024 and preferred start date is Late August/ Early September 2024. Salary range for this position is $67,000.00–$70,000.00 and benefits include full monthly premium with the organizations’ health insurance policies, PTO/Sick Leave and expanded annual paid holiday schedule.

  • Curate titles, negotiate fees, and manage asset delivery under the direction of the Director of Programming.
  • Submit thoughtful written evaluations and support generation of promotion materials as related to public programs.
  • Track industry and festival trends and make programming recommendations on a weekly basis.
  • Oversee specific relationships with rights holders and sales agents to ensure SFFILM has exposure on all desired titles.
  • Develop partnerships and collaborations with other appropriate film festivals, arts organizations, distributors, and industry professionals.
  • Present SFFILM program to members, the press, and the public.
  • Introduce films, moderate Q&A sessions, lead panel discussion and other public programs.
  • Identify, research, invite, and host films and filmmakers, and other participants for public programs.
  • Support the management and oversight of SFFILM seasonal staff within the programming department when necessary for department goals and workflows.
  • Work cross-departmentally to develop strategies to promote programs and increase awareness of SFFILM.
  • Support Program team involvement with cultivation and fundraising efforts
  • Maintain an orderly and informative database.
  • Assist and collaborate with other departments as needed.
  • Participate in departmental and cross-departmental meetings and planning sessions as appropriate to the role.

Qualifications

  • 4-5 years of demonstrated experience in film programming or curation with solid film knowledge and expertise.
  • Knowledgeable about key filmmakers, producers, talent, distributors, with demonstrated and established industry relationships.
  • Must have strong critical writing and interpersonal skills, and ability to work as part of a team.
  • Self-driven and motivated. Works well under pressure.
  • Comfortable speaking in public is essential.
  • Presenting festivals and film events is demanding work that can occasionally require long hours and weekend work. Candidate should understand the demands of this industry and be willing to occasionally work nights and weekends.
  • Fluency in additional languages is a plus.
  • Strong interpersonal skills and ability to communicate professionally with volunteers, colleagues, and donors.
  • Strong work ethic, professional manner, and ability to represent SFFILM.
  • Excellent organizational skills and ability to prioritize workload in a timely manner to complete assignments when faced with many deadlines and competing requirements.
  • Experience with non-profit organizations is highly desirable.
