Programming Coordinator

Summary

The Programming Department seeks a thoughtful, dynamic, and energetic individual to join the Programming team at SFFILM. The coordinator provides administrative support to the Programming Department and assists with curatorial projects at SFFILM. This position is responsible for the administration of the department and will also contribute to ongoing work in the programmatic sphere.

The ideal candidate has experience providing administrative support to teams in an arts, filmmaking, or nonprofit environments, and is looking to deploy and build skills in project management, external constituent communication, and overall administrative coordination.

Application review begins December 10, 2024 and preferred start date is February 17, 2025. Salary range for this position is $23 – $25 per hour and benefits include full monthly premium with the organizations’ health insurance policies, PTO/Sick Leave and expanded annual paid holiday schedule.
SFFILM currently supports a hybrid-remote schedule, with an average of 3 days per week in the San Francisco offices, as well as time onsite throughout the Bay Area supporting SFFILM events.

Responsibilities:

  • Provide administrative support to the entire department including meeting schedules, note taking, event invitations and list management.
  • Liaise between Programming and other departments as directed by the Director of Programming to support year round initiatives.
  • Maintain internal databases, departmental files, and project management systems.
  • Manage the departmental databases for all films, technical data, print sources, support materials, etc. Prepare reports with this information as requested on a rolling basis.
  • Assist with payments to vendors, partners, and monthly expense reconciliation for the department and Director of Programming.
  • Organize and oversee the Programming Department workspace and equipment.
  • Research current and upcoming film projects, and track ongoing festivals activity worldwide.
  • Support the management of film submissions and solicitations and the screening committee as directed.
  • Prepare specific program data for publication and assist with proofreading and internal routing of additional promotional assets.
  • Manage program materials and posters for all public exhibitions year-round, to include festival films.
  • Assist in print traffic duties (shipping, receiving and transport) as needed.
  • Serve as an on-site representative for both the curations team and SFFILM as a whole at all public events.
  • This role requires evening and weekend work during festivals.

Qualifications:

  • We are looking for a candidate based in the Bay Area.
  • Strong organization and administrative skills and the ability to coordinate across a variety of teams is desired.
  • Must have strong writing and interpersonal skills, and ability to work as part of a team.
  • Must be able to work independently, manage competing deadlines, and prioritize departmental requests.
  • Previous festival or film exhibition experience is strongly preferred.
  • Strong working knowledge of Microsoft Office, and Google Workspace.
  • Working experience with File Maker Pro or equivalent database tools preferred
  • Presenting festivals and film events is demanding work that can occasionally require long hours and weekend work. We are looking for someone who is able to work overtime and works well under pressure.
  • Screening Committee experience is strongly encouraged.
  • Knowledge of film exhibition technicalities (exhibition formats, digital formats, Dolby sound, aspect ratios, etc) is very beneficial.

Programming Department Intern Opportunity

Summary

SFFILM’s Programming department is seeking a motivated intern with an interest in curation and film / media to support our fall programs and ongoing screening for the 2025 SFFILM Festival. Founded in 1957, the San Francisco International Film Festival (SFIFF) is the longest-running film festival in the Americas. The Festival is deeply rooted in the culture and process of film appreciation—film as an art form and as a meaningful agent for social change—and is an important showcase for the most searching and innovative films from around the globe.

The Programming Intern reports to the Associate Director of Programming and will provide assistance in the SFFILM offices and onsite at exhibition programs as needed. The Intern will have the opportunity to support SFFILM’s Fall exhibition, including Doc Stories (October 17-20) and Awards Night (December 9). The key undertaking will be screening and evaluating films for the 2025 SFFILM Festival, which takes place in the Spring (April 17-27, 2025). The internship is based in-person in the Bay Area and is unpaid.
The opportunity is based in the Bay Area, requires 8-16 hours per week (1-2 days in-office – availability to work out of the SFFILM SOMA offices Tuesdays and/or Thursdays is essential), and runs from September through December 13, 2024

Qualifications:

  • Passion for film/ media education, film festivals, and film organizations.
  • Interest in the art and craft of cinema.
  • Good research skills.
  • Reliable transportation and ability to travel to the SFFILM office and exhibition venues.
  • Availability for scheduled weekday hours in the SFFILM office and some evenings for events.
  • Excellent communication skills, both orally and in writing.
  • Must be able to express yourself clearly, thoroughly and mindfully.
  • Excellent organizational and time management skills.
  • Ability to juggle multiple tasks in a fast-paced working environment.
  • Excellent computer skills. Proficiency with Filemaker Pro would be a plus.

Development Systems and Capacity Building

Summary

SFFILM’s Development Department is seeking a motivated intern with a passion for nonprofit capacity building and film/media. This internship offers the chance to play a vital role in strengthening our fundraising systems, leading to greater long-term sustainability for the organization.

As a Development Intern, you’ll report directly to the Development Director, assisting in the creation of essential documents like operating plans, individual prospect strategies, and research materials that will expand the department’s capacity in 2024 and beyond. You’ll have the opportunity to contribute to reports and analyses of current operations, support the creation of templates for fundraising efforts, and prepare for the 2024 Doc Stories Festival, October 17-21, and SFFILM’s largest annual fundraiser, Awards Night, on December 9th.

This internship provides valuable exposure to nonprofit management, operational planning, and the film/media industry. The opportunity is based in the Bay Area, requires 8-10 hours per week (availability to work out of the SFFILM SOMA offices Tuesdays and/or Thursdays is essential), and runs from September through December 13, 2024 2024, with potential extension.

  • Volunteer Support & Management: Assist in organizing and managing fundraising volunteers, contributing to assignments, training materials, and tracking prospect interactions.

Seasonal Special Events Manager

Overview

Reporting to the Director of Operations, the Special Events Manager leads the production, project management, and execution of all parties and receptions during SFFILM’s fall season, with a focus on Doc Stories, including the execution of a daily hospitality lounge. They will also play a key supportive role in the production of our Awards Night fundraising gala. This role will work closely with the Programming and Development departments on the goals and execution of events such as the Doc Stories 10th Anniversary Party, Doc Stories Brunch, and other parties and receptions during the fall season, and will also work closely with the Development and Communications teams on sponsorship procurement, fulfillment, and the invitation process. They will oversee any Events volunteers and staff.

This position is expected to provide on-site support for any SFFILM events during the fall, including Doc Stories (October 17 – 20) and Awards Night (December 9), in venues across the San Francisco Bay Area, and to work in accordance with in-office requirements as determined by organization-wide and department policies.

Application review begins August 12, 2024 and earliest possible start date is September 9 2024. This position is full-time, hourly, nonexempt, with an intended pay rate of $23-$24 per hour.

Principal Duties

  • Responsible for lead producing and project managing all SFFILM fall season parties and receptions, bringing events from conception to execution within budget
  • Responsible for the execution of the Doc Stories Lounge, including leading relationships with venue and vendors
  • Support the execution of private meals, including researching and confirming restaurants and menu planning
  • Project manage cross-departmental workflows on all event related tasks, including facilitating conversations with other relevant decision makers on event look and feel, and reconciling priorities for different constituent groups
  • Provide timely and clear information to SFFILM staff on event status during the process, and share out runs of show for all events
  • Brainstorm and manage booking venues, entertainment, catering, bar service, and activities, including surrounding logistics i.e. securing permits, executing contracts, and issuing COIs when needed
  • Manager Special Events budget, and track and submit all payments and expenses
  • Work with the Development and Communications Departments to support the invitation process for events, including contributing to copy, oversight of capacity, and pulling RSVP lists
  • Manage venue and vendor relationships, including all rentals
  • Act as a key player for producing SFFILM Awards Night, including supporting any project management, supervising staff, actively working with the production crew, and other duties as needed
  • Support planning for the SFFILM Festival, including research and outreach for event venues, and working with the Office and Production Manager on organizing inventory and other production projects
  • Work closely with the Development team on execution of sponsor obligations and in-kind partnerships
  • Support Office and Production Manager and Makers team with events at FilmHouse, including project managing of certain Filmhouse events, schedule dependent
  • Work closely with the Tech and Media Manager on all technical aspects of event production
  • Work with the Director of Operations and Production Manager on planning and executing load-ins and load-outs for all Events
  • Create safe events that are aligned with COVID-19 safety protocols
  • Work closely with Director of Operations to prioritize accessibility at all events, and make sure accessibility information is properly communicated across departments and to all necessary public touchpoints
  • Support other Operations team members and projects as needed
  • Create a written wrap-report and summary of all necessary timeline info

Experience/Skills Required

  • 2+ years experience managing events of varying size, budget, and scope
  • Experience producing live events and familiarity with the pressures and challenges of meeting the needs of high-touch constituents
  • Experience liaising with high-touch constituents and balancing competing, and often urgent, needs
  • Experience working in a non-profit professional environment
  • Experience managing event and production staff and working with venue management
  • Experience with food and beverage logistics and permitting
  • Experience creating accessible events for a variety of accommodations is a plus
  • Experience with film festivals is a plus
  • Possess great energy and efficiency and a cooperative spirit
  • Be friendly, welcoming and comfortable interacting with people with vastly different backgrounds and roles
  • Must be proactive, communicative, and able to work with minimal supervision and a limited budget
  • Ability to handle multiple tasks simultaneously, to prioritize effectively, and to respond to last-minute requests
  • Comfortable with the heavy lifting and labor inherent in loading in and out festival sites
  • Comfort in Google Drive, FileMaker, Eventbrite and Basecamp a plus
  • Familiarity with Bay Area event venues, artists, and performers a plus
